When UW-La Crosse saw the analog writing on the wall, it embarked on a multiyear project to transform tens of thousands of hours of video footage into searchable digital files. It turns out that removing the VCR cart from the classroom is complicated. In this web seminar, originally broadcast on October 21, 2014, Jim Jorstad, the university’s director of academic technologies, simplified the process. He has developed policies and guiding principles for transferring video files on campus, and shared what he’s learned so far, from the practical and technical considerations of choosing a video platform to the interpretation of copyright law.

The Wharton School of the University of Pennsylvania is recognized globally for intellectual leadership and ongoing innovation across every major discipline of business education for its 5,000 students. Jon M. Huntsman Hall is Wharton’s newest and biggest building. A colloquium located on the eighth floor incorporates a video wall, but needed an upgrade after five years. The room can host as many as 150 people and is used most often as a social gathering space, as well as for hosting presentations, dinners and conferences.

However, an important but often overlooked consideration of any online strategy needs to be the “customer experience” for online students, beginning at the potential-student stage and continuing post-graduation.

Addressing the technology needs of today’s students is becoming increasingly challenging, as students expect to have mobile access to any and all learning resources, anytime and anywhere, from any device. These challenges require new IT strategies for institutions; IT managers across campus need to work together with other administrators to address common problems, save money, build relationships and create value for the university.

With over 25,000 students, the University of Illinois at Chicago is the largest university in the greater Chicago area. Its urban setting just west of the Loop means it is an important part of the educational, technological and cultural fabric of the city. With such a campus, the institution’s leaders knew that students, staff and visitors would need a singular place to access directional and other information. “We had tried to implement a mobile app, but it turned out the platform could not perform a key function on Android devices,” says Cynthia Herrera Lindstrom, chief information officer and executive director of the Academic Computing and Communications Center.

Baker College is the largest independent not-for-profit college in Michigan and one of the ten largest private colleges in the country, with over 28,000 students across nine campuses, multiple extension campuses and an online program, including its flagship campus in Flint. Managing institutional data and IT systems at such a large college could be challenging in even the best situation, but until 2013, the college was using a cumbersome system developed in-house, which made things even more difficult. “The system that we had required our IT staff to spend most of their time working to keep up with federal regulations,” says Jacqui Spicer, chief information officer.

The University of South Florida is one of the largest public universities in the nation, supporting more than 47,000 students across three separately accredited institutions. Its heritage of innovation means making the right technology available for students, professors and administrators, no matter where they are or when they need it. “Originally we provided thousands of desktops in computer labs across the university to give students access to the computing resources they needed for their classes,” says Craig Woolley, assistant vice president of IT support services for the university.

Like any large community college, Blinn College in Texas processes and tracks thousands of student bills each semester. With over 19,300 registered students spread over 4 campuses, Blinn takes in tens of millions of dollars in tuition payments every year. “With so many students, billing get complicated,” says Jeff Cermin, executive director of business services at Blinn. To improve the billing process, since 2002 Blinn has partnered with Nelnet Business Solutions to offer e-payment options to its students.

Back in 1991, St. Cloud State University in Minnesota had only three classrooms outfitted with projectors. Now the 16,000-student university has built nearly 200 “smart classrooms” with projectors hooked up to laptops at instructor workstations. The vast majority of those projectors are Sony models. “Sony makes a wide range of workhorse projectors,” says Kelly Larson, electronic classroom specialist at St. Cloud. “They are at the right price point for us, and quite easy and quick to set up.”

This is critical for higher ed institutions that are struggling to do more with less. This web seminar, originally broadcast on April 22, 2014, featured leaders from the Washington Student Achievement Council, a state agency working with colleges and universities to expand access to higher education in Washington. They shared how implementing electronic document management allows them to save time, money and resources, and to better serve both students and institutions.
